Terms & Conditions of Hire
Perth Wine Barrel Event Hire

1.    Definition:

In these terms and conditions of hire, “the Supplier” means Perth Wine Barrel Event Hire (ABN: 33 620 218 479), their sub-contractors, agents, and authorised employees. “The Hirer” means the person or persons, company, or agent of the Hirer. The “Equipment” means the items hired out by the Supplier to the Hirer, including boxes, crates, containers, and covers supplied with the hired items.

2.    Ownership:

All Equipment supplied for hire always remains the property of the Supplier unless an agreement to purchase is agreed between the Hirer and the Supplier.

3.    Agreement:

The Hirer agrees by making payment that the Hirer has read, understood, and agreed to the Terms and Conditions of Hire with the Supplier.

4.    Hire Period:

Hire rates stated are based on one day hire of 24 hours or part thereof, and only for one event within the 24 hours.

5.    Payment Terms:

The Hirer agrees to pay the Supplier the full value of the final tax invoice before delivery of the Equipment. Delivery will be withheld to the Hirer if the final tax invoice is not paid. Proof of payment may be required from the Hirer.

6.    Deposit:

A non-refundable deposit of 50% of the quotation is required by the Hirer to secure a booking, payable within 7 days from the date of the tax invoice. After 7 days the booking will lapse.

7.    Bond:

The Supplier at their discretion may require a refundable bond to be paid by the Hirer as part of the final payment. The bond will be refunded by the Supplier to the Hirer once the Equipment is returned undamaged and in the same condition as it was delivered.

The Supplier may also request to hold details of the Hirer’s credit card as security over the Equipment until it is returned. Any damages or losses will incur a charge to the Hirer’s credit card.

8.    Final Payment:

Final payment is due 14 days before the Hirer’s event.

9.    Payments Methods:

The Hirer can make payments with Visa and Mastercard debit and credit cards, Apple Pay, Google Pay, and Electronic Funds Transfer (EFT) as per the Supplier’s bank account details on the tax invoice.

10.    Website Payments:

The Hirer may choose to hire Equipment through the Supplier’s website, www.perthwinebarrelhire.com.au . There is no provision on the website for deposits, partial payments, and bonds. Payments made via the website are charged in full to secure the booking. The supplier will contact the hirer to confirm the booking and advise of any additional charges that may be due.

11.    Cancellation:

The Hirer can cancel up to 14 days prior to the event but the deposit will be forfeited by the Hirer (as per condition 6, Deposit).

If the Hirer has paid in full and wishes to cancel up to 14 days prior to the event, then the Supplier will reimburse 50% of the Hirer’s payment.

If the Hirer cancels 0-14 days prior to the event, the deposit of 50% will be forfeited by the Hirer plus an additional 25% of the final tax invoice value will be charged, effectively being 75% of the final tax invoice value.

12.    Product Variations

Due to the natural characteristics of timber, wine barrels, tabletops, and other wooden Equipment, may vary slightly in colour and grain. The number of metal hoops on a wine barrel may vary dependant on availability, but where possible every effort is made to match the wine barrels for the Hirer’s event.

13.    Conditions and Obligations of Hire:

The Hirer is responsible for all Equipment from the time of delivery until collection.

The Supplier will ensure that the Equipment hired is of the correct quantities, in clean condition, working order and fit for purpose, when delivered. There may be evidence of some minor wear on the Equipment.

The Hirer is responsible for checking the Equipment on delivery to ensure the correct quantities are delivered, that there are no damages and breakages, and that the delivery docket is signed by an authorised person, as acceptance of the Equipment.

Any discrepancies must be brought to the attention of the Supplier on delivery.
The Hirer is responsible for the condition and the correct use of the Equipment according to its purpose at their event.

Wine barrels and tabletops are heavy (often more than 50kg) and will be positioned by our team upon delivery to prevent damage or injury.

Wine barrels must not be rolled or dragged, as this may damage their staves or structure.

Do not place hot items directly on wooden surfaces, as this may cause heat damage.

Equipment must be cleaned after use, returned to storage boxes, stacked, and ready for collection.

Any Equipment lost, stolen, or returned damaged will incur repair or replacement costs, which will be charged to the Hirer.

14.    Insurance:

The Equipment is not insured while on hire. During the hire period, between delivery and collection, the Hirer is responsible for any loss or damages. Any Equipment losses or damages are charged to the Hirer at full repair or replacement cost.

15.    Delivery and Collection:

For the safety and convenience of the Hirer, the Supplier manages the full delivery, setup, and collection process—pickup is not available.

Delivery and collection fees are not included in the listed hire prices. Standard fees are calculated based on the distance from the Perth CBD, the quantity and type of items hired, and allowance for level access up to 25 metres from the delivery vehicle to the setup point.

The Hirer is responsible for ensuring clear, unobstructed access to the event site. The Supplier must be notified in advance of any access considerations such as stairs, steep driveways, narrow pathways, obstructions, or the presence of dogs. Providing accurate information about site access helps ensure a smooth and stress-free delivery and collection process. Additional charges may apply if access is restricted or if extra time, labour, or equipment is needed to complete the delivery. A standard delivery typically takes around 30 minutes.

16.    Liability:

The Hirer indemnifies the Supplier against all claims, actions, demands, losses, or expenses arising from injury, death, loss of income, or damage to property sustained by the Hirer or any third party in connection with the use of the hired Equipment.

The Hirer is responsible for ensuring the Equipment is used safely and appropriately by all guests and event staff. Children must be supervised at all times when near or using the Equipment.

17.    Force Majeure

Neither the Supplier nor the Hirer shall be liable for any loss, delay, or failure to perform their obligations under this hire agreement if such delay or failure is caused by a Force Majeure event. This includes, but is not limited to, acts of God, natural disasters (such as floods, fires, or earthquakes), war, terrorism, pandemics, government restrictions or regulations, transport or supply chain disruptions, industrial action, or any other event beyond the reasonable control of the affected party. In the event of a Force Majeure, the affected party must notify the other as soon as reasonably practicable.
